ShiftFlow

Time & attendance for South African payroll

Payroll-ready hours.
Without the chasing.

Every clock-in, from a ZKTeco terminal, a face scanner or a phone, becomes hours you can pay. Every morning ShiftFlow tells your managers exactly what still needs fixing.

What makes ShiftFlow different

Most systems record time. ShiftFlow makes sure it is paid right.

Late stay · 2h 42mHeld

Overtime only pays once it is approved

Time worked past the shift is held until a manager approves it, one stretch at a time. Approving a 46-minute late stay never releases a ten-hour night along with it.

Change a rule, and past hours follow

Hours are worked out from the punches every time a report runs, never frozen at import. Correct a punch or a rule and the history recalculates. No re-imports, no month-end clean-up.

One set of rules on every device

ZKTeco terminals, IP68 face scanners and the phone app all run through the same checks. Nobody is late on the phone and on time at the gate.

Night shifts and split shifts, paid right

Shifts across midnight, second stints and weekly-quota rosters are measured as real clocked sessions, never first-in to last-out. A Saturday night keeps its Sunday rate.

Lunch not clockedFlagged, not docked

Fair to your people by default

A missed lunch punch is flagged for a manager instead of quietly deducted, and only after the BCEA's five hours. Repeat presses at a terminal are tidied up automatically, and can always be restored.

It tells managers what to fix

A morning email per site, an Exception Inbox, a compliance heatmap and an alert when a clocking device goes quiet. Nobody has to go looking for problems.

The morning digest

Your managers start every day knowing what to fix.

At 07:00 each site manager gets one email about yesterday: who is still clocked in, who clocked out without clocking in, which exceptions are new and what is waiting for approval. Each line links straight to the fix.

  • Quiet days send nothing, so an email always means something
  • Night shifts that clock out after midnight are never flagged
  • Carries your own logo, beside ours

How it works

From the gate to the payslip in four steps.

  1. 01

    Clock

Staff clock on a terminal, a face scanner or their phone, inside the site's geofence, online or off.

  2. 02

    Check

Every punch is checked against the shift: late, early, missed lunch, overtime, unknown employee.

  3. 03

    Approve

Managers clear the morning digest and the Exception Inbox. Every change is audited.

  4. 04

    Pay

Lock the period and export to Sage or Pastel with your transaction codes and cost centres.

Devices

Clock in at the gate, on site or in the field.

ZKTeco terminals

Fingerprint and card terminals push punches straight to ShiftFlow, with device clock offsets corrected on arrival.

IP68 face terminals

Weatherproof face scanners for outdoor sites. Enrol a face once and it follows the employee to every unit.

The phone app

Clock in from site or the road, inside a geofence. No signal? Punches queue on the phone and sync when it reconnects.

Tips, updates and workforce insights

PAYE and UIF on Job Wage Summaries

ShiftFlow now lets head office record a PAYE and UIF percentage on each worker's profile. For companies using Job management, the wage summary and job report show each worker's gross wages, the PAYE and UIF to deduct, and the nett, in the page and in the CSV downloads. Payroll exports and attendance reports are not affected, and job profit stays on gross wages.

Job Cards From Your Tax Invoice

ShiftFlow now turns a job's tax invoice into a job card. Upload the PDF on the job and its line items become work items, grouped under the invoice's headings, with their quantities and the invoice number at the top. No prices are kept. The site supervisor ticks each item off on their phone as it is done, and a progress bar on the job, and on the jobs list, shows head office how far along every job is.

ShiftFlow now lets managers search and filter by site on the phone punch screen

ShiftFlow now lets a manager find an employee on the mobile Punch In/Out screen by typing part of their name or employee code, and narrow the list to one site or department. Both work alongside the Checked In, Checked Out, Never Punched and Today filters, and stay set after each punch, so a manager working through one site does not have to pick it again.

See your own punches become pay.
